Project Coordinator

Overview:

WTI is a family-owned, internationally recognized design and engineering firm specializing in leading-edge aquatic facility design and engineering (i.e., waterparks, competitive swimming pools, and community recreation aquatic facilities). We are seeking an administrative professional to join our team in Beaver Dam, WI., working closely with internal and client project team members to carry out project coordination and support duties.

Primary Accountabilities and Responsibilities:

The following job functions are typical of the position but are not all-encompassing.

  • Timely processing and distribution of all relevant project information, such as schedules, meeting notes, drawing files, RFIs, submittals, field reports and review comments, using project-specific delivery processes (Aconex, Newforma, BIM 360 Docs or equivalent).
  • Coordinate internal and external team meetings using Microsoft Teams.
  • Maintain up-to-date project data files including electronic information and hardcopy versions (as needed) according to WTI standards.
  • Adheres to all project support-related standards, processes work plans, and established project delivery standards and processes.
  • Provides general office support for the project managers and other WTI staff as needed.
  • Assumes responsibility for other duties assigned or needed.
Required Qualifications, Knowledge and Skills:
  • Associates degree in related field or equivalent experience is preferred.
  • Minimum of one year of experience in a professional office environment.
  • Previous experience working in the professional services industry, with general understanding of project management in the A&E or construction industries, is preferred.
  • Proficiency in Microsoft Office products is required including ability to design and format documents for a professional look consistent with WTI and client standards.
  • Excellent communication, customer service, and organizational skills.
  • Experience with Bluebeam, Newforma, Aconex, and BIM 360 Docs is preferred.
  • Demonstrated ability to build positive, professional relationships and work effectively within a team environment.
  • Demonstrated flexibility and willingness to work to meet deadlines as required by client demands, expected and unexpected.
  • Demonstrated ability to effectively prioritize multiple tasks and deadlines and possess excellent follow-through skills.
